LOSS PREVENTION RECOMMENDATIONS

LOSS PREVENTION RECOMMENDATIONS

CAU the Gardens new insurance carrier had a Loss Prevention Consultant visit and inspect The Gardens and he made the following safety recommendations. Most recommendations had to do with fire damage, water damage and Carbon Monoxide.
WATER DAMAGE PREVENTION
  1. It is recommended that you turn off water lines to washing machines when not in use.
  2. When installing or replacing washer hoses don’t buy the cheapest buy a good quality guaranteed leak proof/burst proof washer hose.
  3. Know the location of your water main shut-off so you can get to it quick in an emergency.
  4. Check your water heater for leaks on a regular basis.
  5. When replacing a water heater they recommend one with an Automatic Shut Off Valve.
FIRE DAMAGE PREVENTION
  1. The Smoke Alarms in our units are hard wired but have a battery backup. The battery should be changed annually. The alarm units should be replaced every 10 years.
  2. Have a good charged fire extinguisher handy in a known location.
  3. Candles should not be burned in a location with a draft or near combustible material.
  4. Clean dryer lent filters after every dryer use.
  5. Follow all dryer manufacturers installation and operating guidelines.
  6. Use a minimum of a 4 inch rigid metal vent from the dryer to the wall, not plastic or foil.
  7. Do not allow dryer to run when you are not home.
  8. Inspect the dryer vent termination point annually for blockages, bird nests or any wild life.
  9. When using any outdoor grill only use equipment bearing the mark of an independent testing laboratory and follow manufactures instructions for set up and use.
  10. Locate grill away from siding, out from under eaves and away any combustible materials.
  11. Keep children away from grill.
  12. Use long handled utensils to minimize the potential for burns.
  13. It is recommend when using Fire Pits or Chimineas no combustibles or flammable liquids be used to ignite fires, don’t overload the burn chamber, burn only seasoned fire wood, never leave unattended, make sure ashes are completely extinguished, never use indoors or in enclosed area and follow manufacturer’s instructions for set up, use and maintenance.
CARBON MONOXIDE
  1. It is recommended each unit have a Carbon Monoxide (CO) Detector.
  2. Never leave car or gasoline powered equipment running in the garage with the door down.
  3. Never operate an outdoor grill or a gasoline powered generator inside the unit.
Another area that does affect insurance is the liability for you and the Home Owners Association that can result from the hiring of contractors to do work on or around your unit. You should be sure that any contractor you hire provides you with a Certificate of Insurance that shows the policy number, the named insured, the coverage provided, the policy limits, the coverage term and the name of the insurance carrier. If there is an accident or damage while they are working for you, you and the HOA could be held liable.

In order to improve our insurance coverage and keep our premium about the same as last yer we have changed providers.

Our new insurance company is Community Association Underwriters. They specalize in insurance for Condo Associations.

YOUR HOA PAYMENTS

I'll bet you didn't know all of the accounting, collections, mailing  and other book work for your Association was done by volunteers.

In fact just about all of the Board work is done by volunteers. We do  hire the yard work, painting and repair work to professionals. But have always counted on volunteers to keep the books.

Unfortunatly we cannot find a volunteer bookeeper any longer. It's something that must be done daily, every week of the year.

So The Board has hired an accounting firm to keep the books going forward. As a result we can no longer allow 1st Citizens Bank on Gunbarrel Road to take payments for the Association.

You must mail your payments to the lockbox address  shown on your payment coupons.

Remember your payment is due on the first of the month and a late charge is assessed on payments received by the lockbox after the 20th.  Mail and processing time is about 5 business days so keep that in mind as you are mailing.

Also, any correspondence should be mailed to the Association office, 800 Callaway Court, Chattanooga, TN 37421, and not put in with your payment.

Spring Cleaning in August

Yes, we finally started cleaning and painting trim. The Association has hired Tim  Morgan to wash and paint trim as needed.

He has started on the front green way and will continue until he finishes at the last row. He will be doing white trim first, then start over at the front for the different colors.

He will be painting columns where needed.

After all trim is cleaned and painted, the Architectural Committee will select the units that need to have the body repainted. Any units chosen will be repainted in the original colors.

Turf Builders sprayed for weeds last week and will do another application in about two weeks.

Sodding and repair of greenways will start next week.

They will start repair of patio areas in September when watering of new sod is not such an issue.

We are looking for a member to serve as head of the Common Area and Maintenance Committee. Please send an email to Ursula at Ursula@epbfi.com if you can help the Board and YOUR Association out.

Your Monthly HOA Fee Payments

Your HOA Fees are due on the 1st day of each month. That means in the lock box on the first, ready to be posted

Not mailed on the 1st, due on the first.

Some of you think since we don't charge a late fee until after the 20th, it's O.K. to get it in by then

It's not.

Most of our bills are due at the first of the month, and we can't wait to pay them until you pay.

And some of you think I'll just stop by the bank and pay there (also on the 20th of the month) and avoid the late fee. Won't work. And costs the Association as the bank either mails it to the lock box or puts in in our checking account with no indication or way to notate who it belongs to. This really slows down things and messes up our accounting.

Speaking of accounting, did you know all of our accounting, bookkeeping, bill paying, and financial statements are done by volunteer Board members.

Do them a favor and mail your payments so that they arrive at the lock box by the first of each month.

It's hard enough to get members to serve as it is!

Summer Newsletter

Summer is here. I would like to remind you walkers to be careful. 

We continue to have speeders and if you walk after dark be selective in your attire so drivers can see you.  Carry a flashlight and wear reflective clothing.  Parents/Grandparents please be careful when allowing your children to play or ride in the street unsupervised since most of the cars exceed the speed limit and could easily be a danger to the children.  We have had reports of children not paying attention and riding their bikes without care or not even looking for oncoming cars when crossing the street.  Also, bike riding in the grass is not allowed.  The SPEED LIMIT IS 20!  Speeders are putting walkers and bikers at risk.  Please slow down, watch out for walkers, bikers, etc. 

Remember with summer, petty crimes are a problem. Please remember to keep your garage doors down, car doors locked and take your valuables into the house.  Don’t make yourself a target, be aware of your surroundings no matter where you are, and be safe.  If you see something suspicious please call the police department – 698-2525.

We continue to have problems with satellite dishes being mounted on roofs. Please inform the company you contract with that they are not allowed on the roof. They may be mounted on the fascia or the ground. NO ROOF PENETRATIONS ARE ALLOWED.

The landscapers have been behind due to the bad weather/storms we had a month ago.  Trimming and mulching are underway.  The sprinklers are being tested and all should be on within the next couple of days.  We have been interviewing painters and maintenance personnel and we will begin painting trim within the next week or so.  The landscapers have ordered the sod and it is now in.  We are going to start replacing sod around patio areas as well and we are planting maiden grass in the last greenway to cover/hide the transformers. 

The designated trash pick up day is still Thursdays and the pest control company comes and sprays the 3rd Thursday of each month so please leave your gates open.  Also, trash will not be picked up at homes where the trash cans do not have liners and trash is loose.  All trash must be in tied bags.  As usual, set large items that need to be picked up alongside your trash bags.  And break down any large boxes.  We appreciate your patience with our new vendors.

As I drive around the Gardens I still see some of you walking your dog without pick-up baggies (you know what I mean)! Be responsible to the rest of us and pick up after your pets.

Please check to see if you are one of the ones leaving behind a howling or barking pet when you leave you home.  Have a neighbor, friend, or relative, check on your pet and tell you if it’s a problem.  Be kind to the pet.  There are a number of ways to fix this problem and have a happy, healthy pet.

We welcome our residents at our monthly board meetings held on the second Monday of each month at Prudential Realty Center on East Brainerd Road and we continue to look for volunteers to serve on committees.

HOW'S YOUR FENCE LOOK ???

When you install a privacy fence there are some considerations. First of all the Association does not maintain it, or for that matter anything the developer, or later on the Association, did not install. Fences may not be attached to the building, and only white vinyl fences are approved.

That means you are responsible for the care and CLEANING of the fence. And some of you have really dirty and moldy fences.

You should clean your fence at least once a year . No one likes to see a part green and part white fence. Now we don't care if you clean the courtyard side of the fence, just the public side. 


This also goes for you members that have stained, painted or veneered your front porch. You need to maintain it also. If it is stained, chipped or faded, RE-DO it.


The association is in the process of identifying those units that either need the trim cleaned or touched up. 

But while you are cleaning your fence, how about looking at your front porch area. A quick cleaning of the trim, columns and door could save the Association a lot of $$$$ and really improve the complex. I know we all moved to condos so we wouldn't have to do outside chores, but your help can keep our Association fees low.

(a) Roof breach 426 –  mounted satellite dish on roof.  Susan Rich sent 2nd letter (attached)  Satellite dish to be removed from roof by 4/15/2011  [1 dish on roof-2nd dish has 2 feet on fascia and one foot on roof-both need to be removed off roof.  This was not grandfathered in.  Previously according to HOA list (attached), they had 2 satellites mounted on fascia-NOT on roof.  Dishes were not put back like before………

Spring

Is Spring Here?

I hope so. At least the weeds have sprouted. Our landscapers have started the spring cleanup, cutting grass, edging, trimming, and picking up debris.

At the beginning of April we will have a new landscape company, Turf Builders. 



These guys have walked the property with the landscape committee and know our high expectations. There will however be a learning curve, so be patient.

They will be here on Thursday, just like our former landscapers and will perform the same tasks. So, please unlock your gates and put your pets inside on each Thursday.

We have changed our garbage service also. 



Burt’s Mastercare will be handling our refuse pickup starting April 1st. He will give the same high quality service as we had with our previous contractor. He will also be here on Thursday

The association has a duty to bid out these services each year for the best and lowest bid.

The previous contractors did an outstanding job the last year, however the new contractors will save the Association quite a bit of money each month and allow us to maintain our current HOA fee amount of $130.00 per month.

(b) Status regarding 8 foreclosed units:  Bank has paid HOA dues for November and December 2010 for remaining 8 units.  No payments received for January or February, 2011.
(c) 555 – Mike Andrews unit.  Letter sent to Mary Walton Allen w/Magna Bank re: validity of lien.  Lien disputed by Buddy Presley/Gateway Title

It also now has a section for pictures of the community and people.

Our Annual Meeting

The Gardens at Heritage Green CAI held it's annual meeting last night, Tuesday February 1st, 2011 at the Golden Corral restaurant on Gunbarrel Road at 5:45 P.M.

The only order of business was to elect three Board members for new term of two years.


Nominated were Jack Wallace, Chair Architectural Committee; Kathryn Shaffer, Chair Landscape/Common Area Committee; Ursula Jenkins, Secretary.

In order to conduct business 50% of the voting membership had to present or represented by proxy. The meeting was called to order and the Secretary confirmed that only 19 voting members were present in person and 17 were represented by proxy.

Since 65 members were required to present or represented by proxy the meeting was adjourned.

A Board meeting was held immediately following the adjournment of the Annual Meeting and the three nominated Board members were elected by acclamation by the Board, as per the Association documents.
